Who is responsible for your data
Quality Estates S.L. decides why and how your personal data is used on this website. The company details are at the foot of this page.
If you have a question about your data, write to us at the address at the bottom of this page and we will answer in writing.
What we collect, and why
We only ask for what we need to answer you. Nothing on this site is collected in the background.
The enquiry form: your name, e-mail address, message, and your telephone number if you give one. If you write from a property page we also record which property, so we know what you are asking about. We use this to reply and to arrange a viewing.
The newsletter: your e-mail address and, if you give it, your name. You confirm by clicking a link we send you, so nobody can subscribe you without access to your inbox.
The project brief: whatever you choose to fill in about a renovation or building project, including any photographs or plans you upload. Every step is optional. We use it to prepare a realistic quotation.
The town matcher: your answers about how you would like to live, and your e-mail address if you ask for the result.
We do not build profiles, we do not score you, and no decision about you is made automatically.
Why we are allowed to hold it
For enquiries, the project brief and the town matcher: because you asked us to do something, and we cannot do it without the data. In the language of the GDPR this is your request and our legitimate interest in answering it.
For the newsletter: because you consented, twice, and you can withdraw that at any time using the link at the foot of every issue.
For anything we are obliged to keep, such as records behind an invoice: because the law requires it.
Who else sees it
We use a small number of suppliers to run the site and the office. They act on our instructions and may not use your data for anything of their own.
Brevo, which sends the e-mails: our notification, your confirmation, and the newsletter.
Vercel, which hosts the site and runs the code.
Neon, which holds the database behind the site.
Vercel Blob, which stores files you upload with a project brief. Those files are private and reachable only through a signed link that expires.
eGO Real Estate, the software our agents work in. An enquiry about a property, or about buying or selling, is passed to it so that an agent sees it.
Base44, which runs our internal operations hub. Enquiries that are not about buying or selling go there instead.
We do not sell your data and we do not share it for advertising.
Google, which runs Google Analytics. It only receives anything at all from visitors who accepted analytics cookies, and it never receives what you write in a form.
Where your data is held
The database is in Frankfurt and the code that handles your form runs in Frankfurt, both inside the European Union.
Brevo, which sends our e-mail, is a French company and stores its data in the European Union.
Two of our suppliers are not European. eGO Real Estate, the software our agents work in, is Portuguese and therefore inside the EU. Where a supplier does process data outside the European Economic Area, it is under the European Commission’s standard contractual clauses.
Google, which runs the visit statistics, is an American company. It only receives anything from visitors who accepted analytics cookies, your address is shortened before it is stored, and the transfer rests on the European Commission's adequacy decision for the EU-US Data Privacy Framework.
If we ever need to send your data outside the European Economic Area, we will only do so to a country the European Commission has decided offers equivalent protection, or under its standard contractual clauses. We will not move your data somewhere it is protected less than it is here.
How long we keep it
We keep an enquiry for two years and then delete it. Looking for a house here runs over seasons, and the office may reasonably come back to you inside that time.
A project brief is kept for two years as well, including the photographs and drawings you uploaded with it. Building work has a long run-up, and a conversation that stalls in November often restarts in March.
An answer to the town matcher is kept for one year. It is five questions and a report, and it stops being useful long before that.
A newsletter sign-up you never confirmed is deleted after thirty days.
The technical record used to stop the forms being abused is a one-way fingerprint of your IP address, never the address itself, and it is deleted automatically after twenty-four hours.
Newsletter subscriptions are kept until you unsubscribe.
Please do not send us sensitive information
Some kinds of personal data are treated as special by the law: health, racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic and biometric data, and anything about a person’s sex life or sexual orientation.
We have no reason to hold any of it, and none of our forms ask for it. Please do not put it in a message or a project brief. If you send it anyway we will delete it rather than file it.
Children
This site is meant for people buying, selling or looking after a house, and it is not aimed at children. We do not knowingly collect their data.
If you think a child has sent us something through this site, write to us and we will delete it.
Your rights
You can ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it, ask us to limit what we do with it, or object to us holding it at all. You can also ask for it in a portable form.
Write to the address at the foot of this page. We will answer within one month. We may ask you to confirm who you are first, so that we do not hand your data to somebody else.
If you are not satisfied with our answer you can complain to the Spanish data protection authority, the Agencia Española de Protección de Datos, at www.aepd.es.
Changes
If this policy changes we will publish the new version here with the date it took effect.
